Frequently asked questions
Quick answers about how we work. Can’t find yours? Just ask.
Who are you?
Anthony James Consultancy Ltd, based at Charlotte House, Hoghton Street, Southport. We’ve managed leasehold property since 2002, and our property management team has 18 full-time people.
What does the management fee cover?
The everyday running of your building: collecting service charges, paying bills within your budget, contractors and repairs, a formal site visit with a report, your AGM, and help with day-to-day questions. See the full list.
Are there other charges?
Only when extra work is needed, such as major works, Section 20 consultation or company secretarial work. Every charge is published on our fees page.
How often are fees billed, and do they go up?
Quarterly, in January, April, July and October. We review the fee each April, and any rise is capped at the lower of 2.5% and inflation (CPI).
Is our service charge money kept separately?
Yes. Each building has its own client account, interest goes to that account, and reserve funds are banked separately where possible.
Can we see what’s being spent?
Yes. Directors can see bank transactions, invoices and budgets. We share invoices due for payment each month so you can query anything first.
What happens if someone falls behind on payments?
We follow a staged, fair process and talk to the person first. Legal steps only happen with the board’s approval. If you’re struggling to pay, tell us early; we’ll listen.
Do you arrange buildings insurance?
Yes, through a broker, reviewed each year. The broker pays us a £175 plus VAT administration fee per site per year for policy and claims handling. It isn’t added to your premium.
Is there an out-of-hours service?
Yes. Our out-of-hours emergency advice line is 0333 444 0365. In a fire or if anyone is in danger, always call 999 first.
How long is the agreement, and how do we end it?
Agreements run for 364 days. Either side can end it on three months’ written notice.
Do you charge to choose contractors?
No. There’s no separate charge for choosing contractors.
How do I make a complaint?
Email complaints@ajestateagents.co.uk. We acknowledge within 3 working days and reply in full within 15. See the full procedure.
